1. Who this policy covers
This Privacy Policy explains how Sharedpro Technologies Private Limited (Sharedpro, we, us) handles personal data in connection with our websites, enterprise talent services, Magic Match, AI Interviewer, Communication Lab, Expression Measurement API, campus services and vendor network. Contact us at [email protected] with questions about this policy.
For enquiries, accounts and our own business operations, Sharedpro determines why and how information is used. When an employer, college or other organisation arranges an assessment or engagement, that organisation may determine the purpose and Sharedpro may process information on its instructions. The organisation’s notice and the applicable service agreement also apply. Contact the organisation for decisions it makes about your application or assessment.
2. The short version
The information involved depends on the service you use. Browsing a landing page does not by itself start a recorded assessment. Contact forms use the details you provide to respond to your enquiry; assessment and API services may process additional information described below and in the notice shown for that service.
Please provide only information needed for the relevant service. Do not upload another person’s personal information or media unless you have authority and the required permissions. You can contact us to ask about access, correction, deletion or consent withdrawal.
3. Information we process
Contact and account information: names, work email addresses, contact details, organisation, role, login information and messages you send to us. Enterprise enquiries may include your staffing requirements and squad configuration.
Talent and engagement information: CVs, employment and education history, skills, qualifications, availability, assessment responses, interview transcripts, work samples, reports and verification information supplied by you or an authorised organisation. Vendor and commercial records may include business contacts, contracts, billing and compliance documents.
Assessment media and integrity information: where the assessment enables these features, audio, video, images, identity-verification material, browser or device events and proctoring signals. The notice for the assessment should explain the enabled collection before you start.
API and technical information: media submitted to an API or playground, resulting analysis, usage and diagnostic records, IP address, device and browser information, request times and authentication or security events.
4. Recordings, proctoring and expression analysis
Camera, microphone and identity-verification features involve information about you and may involve biometric information depending on the feature and applicable law. Review the service notice before enabling them. Browser permission to use a camera or microphone is a technical permission; it does not replace the service’s explanation of the processing or any consent required by law.
Expression analysis produces model estimates from submitted media. Those estimates are not a medical diagnosis, a reliable determination of someone’s internal feelings, or proof of honesty, ability or intent. Customers must not use the service for prohibited surveillance or unlawful employment or educational decisions.
If you cannot participate in a recorded or proctored assessment, contact the organisation that invited you before starting to discuss available alternatives.
5. Why information is used
We process information to respond to enquiries, manage accounts, deliver the requested service, arrange talent engagements, provide assessments and reports, support users, manage billing and agreements, investigate misuse, protect services and comply with applicable legal obligations.
We may use data to train or improve our models only after informing you of that purpose and giving you an opportunity to opt out before the data is used. You can opt out by emailing [email protected] with the subject Training opt-out. Where applicable law requires affirmative consent, we will obtain that consent before training; failure to opt out does not replace legally required consent. Opting out of training does not prevent you from using the underlying service.
6. Permissions and applicable law
Processing must have a basis permitted by the law that applies to the service and the individuals concerned. Where consent is required, it must be obtained for the stated purpose. You may withdraw that consent by contacting us or using the controls provided by the relevant service. Withdrawal does not undo processing that was lawful before withdrawal, and some records may need to be kept for another lawful purpose.
Where applicable, information may also be processed to provide a requested service, meet legal obligations or support other purposes permitted by law. If a feature cannot work without the information you decline to provide, we will explain the resulting limitation. Rights and obligations under India’s data-protection framework apply as the relevant provisions come into force.
9. Processing and storage in India
Personal data submitted to our services is processed and stored in-house in India, including hosting and storage. This is distinct from technical information your browser sends when loading external fonts, images or linked services, as described above. Those external requests are governed by the relevant provider’s practices.
10. How long information is kept
We retain personal data for 90 days from collection. This period applies to account and enquiry information, recordings, uploaded media, transcripts and assessment reports. At the end of that period, the data is deleted or anonymised unless a longer period is required by applicable law.
Where a legal obligation requires longer retention, the retained information is limited to what is required and used only for that purpose. You may request earlier deletion by emailing [email protected], subject to applicable legal obligations. The 90-day policy also applies to personal data used for model improvement.
11. Security
Security measures should be proportionate to the information and service involved. No internet transmission or storage system can be guaranteed completely secure. Keep your account credentials and API keys confidential, use the access controls provided and contact us promptly if you suspect unauthorised access. This policy does not assert a security certification or guarantee that every risk has been eliminated.
12. Requests about your information
Depending on applicable law, you may have rights to receive information about processing, access or correct personal data, request deletion, withdraw consent or raise a grievance. Some rights are subject to exceptions, verification requirements or the role of the organisation arranging your service.
Email [email protected] with the subject Privacy request and identify the relevant service and request. Do not send passwords, API keys or unnecessary identity documents. We may request proportionate information to verify your identity and authority. Requests will be handled within the time required by applicable law. If we process information for another organisation, we may refer the request to it or assist it in responding.
13. Adults only
Our services are available only to people aged 18 or older. People under 18 may not register, participate in assessments or submit personal data or media, including through a college or organisation. Parental consent does not create an exception to this eligibility rule.
If you believe information about a person under 18 has been submitted, contact [email protected] so we can investigate, restrict access and arrange deletion as appropriate.
14. Automated analysis and human review
AI-generated scores, summaries and signals can be incomplete or incorrect. They should be considered with the underlying evidence and relevant context. Employers and educational organisations are responsible for their decisions and for any review or explanation required by applicable law.
If you dispute an assessment result, contact the organisation that arranged it and email [email protected] with the assessment reference and your concern. Avoid sending sensitive media in an initial enquiry.
15. Security incidents
Where a personal-data incident occurs, we will assess the incident and take appropriate response steps. Notifications to customers, affected individuals or authorities will be made where required by applicable law or the relevant agreement. Report a suspected incident to [email protected] with the subject Security incident.
16. Contact and complaints
For privacy questions, requests or complaints, email [email protected] with the subject Privacy grievance. Identify the service and explain your concern so it can be directed to the responsible team. Where an organisation arranged the service, you may also contact its privacy representative.
You may pursue any complaint or remedy available under applicable law. This contact route does not restrict those rights.
17. Updates to this policy
We may update this policy as services or legal requirements change. The last-updated date identifies the current website version. Material changes will be communicated as required by applicable law; where a new purpose requires consent, a policy update alone does not supply that consent.
